How the Approval Process Works

When a traveler books a trip in Quest that falls outside your company's travel policy, the system immediately flags it for approval. Here’s a closer look at how the process works:

  1. Travel Policies: Company admins can set up specific travel policies within Quest, controlling budget limits and restricting certain types of reservations.
  2. Approval Notification: If a booking goes beyond policy, the traveler is notified instantly. They can still submit the reservation for admin approval if they have a valid reason for making the selection.
  3. Admin Control: Inside the Approvals tab, admins can view flagged bookings, review the traveler’s reason for selection, and approve or reject reservations. The Approvals page is secure and accessible only to admins.
  4. Time-Sensitive: Admins need to act quickly! For flight reservations, AllFly holds fares for 18-20 hours, giving the admin enough time to make a decision before the reservation is automatically canceled.

    • Approve: Once approved, the reservation will be confirmed and ticketed.
    • Reject: If rejected, the traveler will be notified and prompted to choose a new reservation. The admin can also leave a note explaining the reason behind the rejection.
